About the Role:

MPA Recruitment, on behalf of our client, is recruiting a Band 4 Hospital Specialty Training Executive Officer to support the Hospital Specialty Training Department. This is an excellent opportunity for an experienced administrator to coordinate specialty recruitment, training programmes and medical education processes, while providing high-quality administrative support to junior doctor training across Northern Ireland. Working within a busy and collaborative environment, you'll play a key role in supporting recruitment, placements, training events and committee administration.


Key Responsibilities:

Recruitment & Programme Coordination

  • Coordinate specialty recruitment processes, including interview scheduling and recruitment administration.
  • Support the allocation of trainee placements and communicate with education providers.
  • Coordinate induction programmes and training events for junior doctors.

Administration & Committee Support

  • Provide comprehensive administrative support to the Hospital Specialty Training team.
  • Organise meetings, prepare agendas, take minutes and maintain action logs.
  • Prepare reports, correspondence and documentation to support departmental activities.

Information & Records Management

  • Maintain accurate databases, training records and ePortfolio systems.
  • Process trainee documentation and support ARCP and revalidation processes.
  • Ensure information is maintained in line with organisational policies and GDPR requirements.

Stakeholder & Team Support

  • Build effective working relationships with educators, trainees, healthcare organisations and external stakeholders.
  • Respond to enquiries and provide advice on training processes and procedures.
  • Support departmental projects, events and continuous service improvement initiatives.

What We’re Looking For:

Essential Criteria

  • GCSE English and Maths (Grade A–C) or equivalent qualification (or higher qualification).
  • Two A Levels (or equivalent) and 18 months' relevant administrative experience; OR
  • A minimum of 3 years' relevant administrative experience.
  • Experience using Microsoft Office applications, including Word, Excel and PowerPoint.
  • Excellent organisational, communication and interpersonal skills.
  • Ability to prioritise workload, meet deadlines and maintain a high level of accuracy.
  • Full UK driving licence and access to transport (or suitable alternative where applicable).

Desirable

  • Experience coordinating meetings or events.
  • Minute-taking experience.
  • Financial administration experience, including processing invoices and payments.
