Hours: Part-Time (Every Friday and Saturday 9am – 5pm)
About the Role:
On behalf of our client, MPA Recruitment is seeking to appoint a Administrator (Band 3) to support services within the Belfast Trust.
This is an excellent opportunity for an experienced administrator or secretary to provide high-level administrative support to the Discharge Hub team. The successful candidate will be highly organised, customer-focused, and able to manage a variety of administrative tasks within a fast-paced environment.
Key Responsibilities:
Administration & Data Management
- Maintain and update Excel spreadsheets, ensuring information is accurate and up to date.
- Use the Encompass system to process and manage administrative tasks.
- Manage shared Outlook inboxes, responding to and actioning emails promptly.
Communication & Customer Service
- Answer telephone calls and respond to enquiries from Trust employees in a professional and efficient manner.
- Provide accurate information and direct queries to the appropriate team where required.
- Deliver excellent customer service while maintaining confidentiality at all times.
General Office Support
- Support the day-to-day administrative functions of the department in a fast-paced environment.
- Prioritise workload effectively to ensure deadlines and service standards are met.
- Participate in the full induction and training programme to develop the knowledge and skills required for the role.
What We’re Looking for?
Essential Criteria:
Applicants must demonstrate one of the following:
- 4 GCSEs at Grades A-C (or equivalent), including English Language
OR
- NVQ Level 2 in Administration (or equivalent qualification)
OR
- At least 1 year's administrative or clerical experience
In addition, applicants must demonstrate:
- Experience using Microsoft Word, Excel, Outlook, or equivalent software packages
- Strong organisational skills with the ability to prioritise workload effectively
- Excellent communication and interpersonal skills
- Ability to work independently and as part of a team
- High levels of accuracy and attention to detail
- Ability to work in a busy and changing environment
- Experience maintaining filing systems, records, and office administration processes
Desirable Criteria:
- Previous experience within a healthcare or public sector environment
Additional Information:
- An Access NI Check may be required for this role.
