About the Role:
MPA Recruitment is currently seeking to recruit a Band 3 Personal Assistant to support the Unscheduled Care Department within the Ulster Hospital.
The successful candidate will provide professional administrative and PA support to the Assistant Director, as well as administrative support to the ED Management Team.
This is an excellent opportunity for an experienced administrator or secretary who is highly organised, confident using Microsoft Office, and able to manage a varied workload within a busy healthcare environment.
Key Responsibilities:
- Personal Assistant & Administrative Support
- Provide PA and administrative support to the Assistant Director.
- Provide administrative support to the ED Management Team.
- Manage incoming and outgoing emails and departmental correspondence.
- Manage diaries and Outlook calendars.
- Type and format documents, correspondence and other departmental information.
- Maintain accurate electronic and paper-based filing systems.
- Carry out photocopying, scanning and general administrative duties.
- Meeting & Diary Management
- Arrange and coordinate meetings, including booking suitable rooms.
- Prepare and type meeting agendas.
- Prepare, send and collate documentation for meetings.
- Attend meetings and accurately type minutes.
- Distribute minutes and relevant documentation following meetings.
- Coordinate diaries, appointments and departmental schedules.
- General Office Support
- Type, print and laminate information sheets for display within the Emergency Department and Minor Injury Unit.
- Maintain organised administrative records and filing systems.
- Provide general office support to the department as required.
- Prioritise and manage a varied workload effectively.
What We’re Looking for?
- Previous experience in an administrative, clerical, secretarial or PA role.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Experience using Microsoft Word, Excel and Outlook or equivalent software.
- Experience managing diaries, emails and meeting arrangements.
- Ability to type and format professional documents.
- Experience maintaining filing systems and administrative records.
- Ability to work independently while also contributing effectively as part of a team.
- A professional and confidential approach when dealing with sensitive information.
- Ability to work effectively in a busy and changing environment.
