​Job Title: Senior Admin Officer - 3586

On behalf of our Client, the Northern Ireland Housing Executive, MPA Recruitment welcomes suitable applications for the role of Senior Admin Officer in the Belfast area.

The successful candidate will be someone to fulfil the role of Project Admin Support so previous experience in this area would be beneficial with experience in minute taking.

Location: Adelaide Street, Belfast

Hours of work: 37 hours per week (Monday to Friday: 9am to 5pm)

Salary range: £12.38

Key Responsibilities

• Manage and coordinate communication with service contractors, ensuring strict adherence to established standards and regulatory requirements.

• Prepare meticulous and comprehensive meeting minutes, capturing essential discussions and decisions for accurate record-keeping and future reference.

• Solicit and compile valuable feedback on contracts from stakeholders and internal departments to align service provisions with organisational needs and expectations.

• Assist in the creation of essential business documentation, including business cases, contract specifications, pricing schedules, and variations, requiring precise articulation of complex contractual information.

• Contribute to the overall contract management process, overseeing timelines, facilitating effective communication among involved parties, and actively participating in issue resolution to ensure contract execution runs smoothly.

Your Profile:

Essential:

• BTEC Higher or equivalent qualification plus one year of relevant general administrative experience.

OR

• BTEC National or equivalent qualification plus two years of relevant general administrative experience.

OR

• Exceptionally, candidates who do not meet the qualification requirement, but who can demonstrate that they have 3 years’ relevant general administrative experience may also be considered.

For the purposes of shortlisting, applicants must demonstrate their relevant experience for the number of years required, depending on their level of qualification, in all of the following 4 areas:

• Confidence in providing a high-quality direct phone or face to face customer service in a busy work environment.

• Experience of accurately undertaking general administration tasks such as data entry and filing in a timely manner.

• Experience of communicating effectively with both internal and external stakeholders both verbally and in writing.

• Experience of the administration and maintenance of databases on IT support systems and competent use of IT applications including MS Excel, Outlook, Word and PowerPoint.

Other:

• This will bean admin role related to project work so experience in minute/notetaking is essential.

Additional Information:

• A Basic Access NI Check is Required at a cost of £16.

• Full time, Temporary, 13-week contract initially.
