Type: Temporary

Salary: £11.53 PH

Hours of work: 37.5 Hours Per Week (Monday- Friday)

Job Summary.

Reporting to the Blueprint Programme Manager, the Blueprint Programme Office Manager will ensure the Programme Management Office (PMO) functions effectively. They are responsible for managing the programme office and supporting the programme office staff in the delivery of the Programme Plan.

They will provide programme administrative support and document management, support communications and stakeholder engagement, meetings of the Programme Board and work stream or project teams, creation of the Blueprint and Business case and other key deliverables, as well as general programme support.

KEY DUTIES / RESPONSIBILITIES

  • Provide high-quality personal assistance to the Programme Manager and team, including administrative and secretarial support, using own initiative, and working without constant supervision
  • Ensure all information is secure and confidentiality of information is maintained at all times.
  • Provide an excellent professional interface for the PMO which will include communication with a range of stakeholders, dealing with queries with tact and diplomacy.
  • Ensure the professional image of the Programme is maintained at all times.
  • Provide a professional, comprehensive, efficient, accurate and timely service.
  • Office and records management.
  • Provision of secretarial services, including writing and distributing agendas, papers, and minutes (including Programme Board minutes), which are often of a complex and highly technical

Criteria:

NVQ Level 4 in a Business / Management related subject or equivalent qualification.

OR

NVQ Level 3 in a Business / Management related subject plus 1 years’ Administration / Clerical experience at Band 3 or above level.

OR

4 years Administration / Clerical experience, of which 2 years should be a Band 3 or above level.

Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment. This criterion will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the Agency which will permit them to carry out the duties of the post.

Previous experience of minute taking for meetings with multiple attendees and stakeholders.

Demonstrable ability to maintain a high level of concentration in the analysis of data and production of detailed reports.

Demonstrable evidence for adapting to frequently changing priorities and refocusing of efforts in line with changing circumstances to meet objectives within tight timescales (several different key areas on a day-to-day basis).

Demonstrable experience of working as part of a team that is delivering on shared objectives, supporting, and enabling team members.

Demonstrable experience of good communication skills (written and oral), using a variety of mediums, to meet the needs of the post in full.

Demonstrable evidence of problem solving and use of own initiative.

Demonstrable experience in the use of Microsoft Office products including, Excel, Word, PowerPoint, and Outlook

Knowledge of programme and project management.

Knowledge of and commitment to the Health and Social Care Values.

Experience of working in a project or programme for two or more years

Experience of working in Health and Social Care.
